計算 AU 許可證的(經常性)成本

How much is keeping users on Archive User licenses costing your business and how much could you save if you used CloudM Archive instead?

Gone but not forgotten.

Even years after an employee has left your business, data compliance regulations such as GDPR and Freedom of Information requests require you to keep their data in some form.

You obviously don’t want to keep these legacy leavers on a full Google license as it is a) expensive and b) it means that if the former employee (or someone else) can access the account, they can use your business’s applications and access sensitive business data.

So, businesses like yours have had to find ways to keep the data (and allow it to be searchable and restorable) without allowing access, and preferably, cheaper.

Historically, they would simply change the user’s full license to a VFE (Vault Former Employee) license. This license SKU was free and archived the data to Vault. Perfect!

What is the issue then?
Well, Google introduced the AU (Archive User) license as a replacement for the VFE, and charged for it (currently ~$60 per user per year). If you had 1000 users on a VFE, this would cost you $60,000…every year (+ any additional offboarded users you apply an AU license too).

Now, this is obviously cheaper and more secure than a full license. But, it’s not exactly pocket change when it’s coming out of your budget (especially when it used to be free).

How does CloudM Archive solve the issue?
The only real legal requirements for data when an employee leaves is to make sure that it is stored somewhere, can easily be restored or retrieved (down to a single file or email) if required, and deleted after a set amount of time. CloudM Archive does all of that for you!

CloudM Archive will automatically send the data of any offboarded user straight to a Google Storage bucket that you own and control, as an optional step in our innovative Offboarding Workflow process. If the step is in the workflow for the user, you do not need to do anything except press a button to trigger the offboarding.

If you need anything back (e.g. you receive a Freedom of Information request), CloudM Archive allows you to see all the data stored in the Storage bucket, indexed by user, so you can quickly find and restore any and all the data you want, and you can restore it to any user within CloudM Manage. All in a matter of minutes.

Oh, and when the time comes when you want are legally obliged to delete the data, CloudM Archive will use data retention policies to automatically purge the data when it’s been stored for a set time. Remember John who left 7 years ago? Of course you don’t. You started 4 years ago. CloudM will remember to delete his data on time so you don’t have to (and so you don’t get hit with a massive data regulation fine too).

And, best of all, you don’t need to pay for a Google license (full or AU) for the user you just archived. You just need to pay for CloudM Archive and the cost of storing your data in your Google Storage buckets, which, even when combined, works out considerably cheaper than an AU license. We’ve done the math and some businesses could be saving up to 75%. Whether that’s Euros, Dollars, Pounds or Pesos, that’s gotta look good on your balance sheet.

The full Google license can even be removed from the user and returned to your license pool as part of the offboarding workflow, ready to be instantly reassigned. You will only ever need to pay for the licenses you actually use.

This all sounds great, right? But, what if it would actually work out cheaper to keep a specific power user’s data on an AU license instead of incurring the cost of storage? Well, we’ve got you covered as well. Simply create a Smart Team of Power / High Volume users and create a bespoke offboarding policy that has the “Apply Google Archived User (AU) license” step included.

CloudM Archive is already helping (and saving) organizations around the world, big and small. If you would like the opportunity to cut the costs and manual effort of keeping former employee data, why not have a quick 15 minute call with one of our expert CloudM Team.

CloudM 智能團隊

If you manage a Google Workspace domain, you will be very familiar with Organizational Units (OUs) and how they can be used to group users together, making managing a large number of employees significantly easier.

But, one of the disadvantages we found when using OUs was that, inherently, they were very structured and hierarchical – A user could only belong to one OU at a time.

If a user was in the Marketing OU, they would have access to all the shared Marketing resources. But, if you wanted to add the Marketing Team Lead to another “Manager” OU so you could assign a more complex offboarding policy, they would lose access to the Marketing resources. Far from ideal. Far from flexible.

So, we created a way to give you the flexibility to group users together, without breaking your OU structure, whilst assigning bespoke workflows and automations to meet the requirements of their role. We call these group types Smart Teams.

Let’s take a look at a “Manager” Smart Team, as an example, and explore some of the cool things you can do in CloudM:

  • You can make the Smart Team dynamic and set it so users that have a tag added to their profile (e.g. Manager) will be added to the group automatically.
  • You can set a bespoke Email Signature template for all Managers. For example, you may wish for your Management Team to have their personal LinkedIn accounts displayed instead of the company account.
  • You can automatically share access to Management calendars and documents.
  • You can set a different offboarding policy that might include additional steps (such as requiring manual confirmation or archiving data to a different Storage bucket).
  • You can set a custom Security policy that requires a Manager to use a more complicated, and secure, password to access CloudM (as they are more likely to have admin access to features).

Smart Teams aren’t just reserved for creating custom policies for Management, and you don’t have to make such wholesale changes as shown on the previous example.

In fact, some of the best uses of Smart Teams are when you want to make one small change to a few policies or share resources with a select group of employees.

  • You can add a custom footer to the bottom of the email signature of any user that is going to attend an event or convention, so that your customers, partners and suppliers that are attending know you will be there.
  • You can share calendars and documents with all your First Aiders, regardless of location or department.
  • You can set a quicker, less detailed offboarding policy for all temporary/seasonal staff.

Make it easy to send branded email signatures when using a domain alias

ack in the very early days of CloudM, we had a problem!

Even though we were talking to customers and selling as CloudM, our emails (and their signatures) would often come from our parent company, causing unnecessary confusion.

“Who are you?”, we would hear. “I’ve been talking to CloudM”. And, where there is confusion, there’s doubt. “Who am I really dealing with here?” Even if it was never brought up as a reason, we knew it was costing us – both business and reputation.

Well, the easiest way to get around this was to use a domain alias address, allowing our employees to effortlessly switch between their parent company and CloudM email addresses depending on who they were talking to, with all responses sent to the same inbox. Even today, we have centralized staff that need to represent both sides of the company.

With so many companies now having multiple brands and domains under their umbrella, using an alias is getting even more common. Did you know that, in 2020, Unilever NV had 1,181 individual domain names including Ben & Jerry’s and Dove?

But, this brings up another problem – How do you make the email signature represent the brand you are sending the email from?

Introducing Domain Alias Signatures – a new feature for Gmail within our CloudM Email Signature Management module that allows you to set bespoke email signatures that will be displayed depending on which email address the user decides to send the email from.

It could be as simple as the primary email address displaying your company logo, and the domain alias email address displaying the logo of a specific brand.

Or, completely bespoke with different brand colors, fonts, contact details, and social media links, to name a few. And the best thing is that most of this information is added as a variable so that, as soon as a field such as job title is changed in CloudM, it is automatically changed on the email signature, quickly and easily keeping it up to date.

Domain Alias Signatures is just one of many new and exciting feature changes that we have added to our redesigned Email Signature Management module in the last 6 months, joining our brand new Template Gallery and the ability to schedule signatures for the primary domain, with many more updates in the pipeline.

物聯網設備管理和 NAC 的關鍵作用

Introduction

IoT (Internet of Things) is a revolutionary technology with tremendously promising potential impact. It has grown exponentially, from industry to home, and the number of IoT devices will likely keep rising. However, this new technology also raises security concerns. As these devices become prevalent in the public sector and the home, IT specialists must be able to use them appropriately
A recent forecast shows that 27 billion internet-connected devices will be in place by 2025. As IoT technology becomes  more widespread, it is beginning to influence how individuals interact worldwide. To ensure safety for IoT devices, organizations must ensure that these devices are correctly configured and monitored.
Network Access Control (NAC) can address these IoT management and security issues by providing foundational protection against the rise of IoT threats.

IoT Device Management, Onboarding & NAC

IoT device management and onboarding involves securely linking IoT devices to internal networks. Organizations can then monitor and control IoT devices while securing their networks by enrolling them.
NAC is a foundational security tool that helps with this by significantly reducing unauthorized access to critical business assets while also remedying flaws in the device enrollment process. NAC is central in securing IT infrastructure against rogue IoT devices and other malicious threats.

How NAC Facilitates IoT Device Management & Onboarding

Below are some roles in which implementing NAC can help IoT devices management and onboarding:

Authentication

IoT devices need to be authenticated before they can connect to a network to mitigate the threats such as man-in-the-middle and replay attacks. NAC helps mitigate this risk by blocking access between the user and the network until they are fully authenticated.

Network Configuration

NAC can also adjust the network configuration of IoT devices during onboarding. For example, if it is required for a device to connect to a specific subnet or VLAN, the NAC can automatically configure it to do so.

Monitoring

The security posture of IoT devices can significantly affect both the security of devices and their respective networks. It is critical to monitor the health of current devices and ensure that they are properly secured. NAC performs real-time monitoring and establishes monitoring policies.

Event & Log Management

NAC is responsible for gathering log and anomaly data from IoT devices. It can log various events, such as device-related information, user activity, firewall and gateway logs, reports on application and security configuration changes, etc. Users can use this data to troubleshoot problems in case of any issues arising from connected devices

Data Management

The collected data NAC gathers form connected IoT endpoints helps to improve the security configurations of specific devices. Moreover, NAC controls how information is exchanged between connected devices and an organization’s cloud services (i.e., IoT applications).

Security Configuration

NAC can be used to perform deep security configurations of IoT devices, such as determining if IoT device users are permitted to connect to the network.
If a user is authorized, NAC can also configure IoT devices’ security settings and configurations accordingly. It can be further configured to check specific attributes, such as whether an IoT device has antivirus software installed or whether it uses particular firewall rules.

Compliance

Upon completion of the onboarding process, the IoT device will be validated for compliance with the organization’s security policies. NAC can help oversee corporate security compliance by requiring  updates and software patches, ensuring business services adhere to regulatory standards, and configurations adhere to the licensing policy.

Implementing a NAC-Based IoT Device Management Solution

In executing a NAC-based IoT device onboarding solution, NAC solutions must be available for an organization’s devices and cloud services. Users must also have access to the security control plane to configure policies for connected devices and make decisions based on them. The following steps help to implement the NAC-based IoT device onboarding solution:

Identify IoT Devices that Require Onboarding

NAC solutions can help organizations identify what IoT devices are connected to the network, how and when they were connected, and how their configuration changes over time. This information can be used to develop policies that optimize the secure operation of IoT devices.

Enable IoT Devices for Onboarding

Once the devices have been identified, it is crucial to ensure that they are onboarded securely. NAC solutions can help support this process by enforcing security policies for IoT devices and using identification services and rules to ensure that there are no exceptions.

Enable Cloud Services for Onboarding

The network’s security dramatically relies on the cloud applications’ security. This means that it is vital for organizations to ensure that the cloud applications are appropriately configured for security and adhere to policies.

Apply IoT Device Management & Control Policies

Once the onboarding process has been completed and each device performs as expected, it is vital to ensure that the appropriate adjustments are made. NAC solutions can provide a way to quickly deploy security policies for IoT devices or schedule recurring tests to ensure they work as expected.

Monitor IoT Device Health

The network’s security depends on the health of all the connected devices – and IoT is no exception. To ensure that the security of each device is maintained, it is essential to ensure that they are operating  as expected. NAC solutions can monitor IoT device performance over time and provide specific alerts when a problem is identified in a device.

Final Thoughts on NAC & IoT Device Management

NAC is a vital component of IoT device onboarding and is essential for an organization’s devices and cloud services. NAC can help ensure that devices are securely configured and performing as expected, while also ensuring that cloud applications are installed and configured securely.

It’s easy to get a false sense of security and assume that your Microsoft 365 data is safe and secure because M365 automatically backs up your SaaS data for simple recovery, right?

Well, not so fast.

While M365 and most other SaaS platforms offer some sort of data protection and recovery features, it’s bare bones at best. For healthcare organizations, this opens Pandora’s box for compliance and continuity issues that can end up costing hundreds of thousands of dollars in fines. And on top of that, add the inability to serve patients and conduct daily business.

It’s critical to have timely and secure access to patients’ highly sensitive personally identifiable information (PII), protected health information (PHI), financial information, intellectual property, and credentials. However, given how this information has grown exponentially, data loss prevention has never been more necessary to ensure business continuity.

It’s crucial to understand that retention requirements far exceed what SaaS applications typically deliver natively, making it vital to close the gap with a reliable backup and recovery tool.

For healthcare organizations, compliance and continuity are the two main factors driving the need for third-party SaaS backup.

Regulatory Compliance
The Health Insurance Portability and Accountability Act of 1996 (HIPAA) makes healthcare delivery organizations legally obligated to preserve certain types of information for periods that exceed a SaaS service’s built-in capabilities.

As the HIPAA Journal explains, each state has its own laws governing the retention of patients’ medical records. To complicate things further, those retention periods can vary considerably. 50 states with 50 retention requirements: Is this something your healthcare organization wants to (or can afford to) manage?

Individual U.S. state laws govern the retention of patients’ medical records, while HIPAA imposes requirements on how long HIPAA-related documents must be retained.

According to the HIPAA Journal, “In Florida, physicians must maintain medical records for five years after the last patient contact, whereas hospitals must retain them for seven years. In North Carolina, hospitals must maintain patients’ records for 11 years from the date of discharge, and records relating to minors must be retained until the patient has reached 30 years of age.”

The hard truth is that SaaS services do not deliver the level of backup and recovery required for healthcare organizations, and what they do provide isn’t seamless.

Business Continuity
Imagine the worst-case scenario where your mission-critical data is suddenly gone—it’s not hard to imagine since it happens to companies every day. Healthcare organizations rely on the information stored in SaaS systems to maintain their business continuity. If the information suddenly becomes unavailable, then significant disruption results.

Continuity Considerations
Things can (and do) go wrong with SaaS data: a simple misconfiguration can cause primary data sources to become unavailable, making accidental deletion a real risk, which may not be discovered until it’s too late to recover from the SaaS app – and may be unrecoverable even if you do find it quickly.

In fact, according to ESG Research, the most common reasons for data loss are service outages and accidental deletion, as seen here:

2 Reasons Why: M365 Data Backup for Healthcare Organizations
Compliance 26.10.22 9 Minutes

In fact, according to ESG Research, the most common reasons for data loss are service outages and accidental deletion, as seen here:

Still, accidents, misconfigurations, and other ‘innocent’ causes aren’t the only ways to lose data.

In recent years, ransomware gangs have set their sights on the healthcare sector and, unfortunately, have been successful in their efforts to disrupt and demand payment for the data’s return.

Fulfilling Regulatory Obligations
Few people like being told what to do, but it turns out that governments do have the authority to compel action.

In the U.S., federal and state laws impose strict requirements around data retention for different healthcare records and information types. Additionally, regulations are subject to change, adding more pressure to comply to avoid a regulatory audit and heavy fines. Failure to comply can lead to significant financial and legal exposure, such as lawsuits, fines, settlements, and certification losses, further increasing the risk of data breaches.

For Healthcare delivery organizations (HDOs) committed to minimizing or avoiding these risks, having a proper backup and recovery practice in place is key to compliance.

Third-party backup and recovery services help you stay compliant by ensuring your data remains immutable and tamperproof. Immutable data and metadata make it possible for you to document and recover not just all data but all data processing, ensuring that auditors have complete visibility of everything that has impacted the data.

If complying with laws (and avoiding potentially hefty fines) isn’t enough to secure the budget, there are other reasons to invest in SaaS backup, such as mitigating downtime and costs.

Protecting Business Continuity
In a presentation titled “Conti Ransomware and the Healthcare Sector,” the United States Department of Health and Human Services (HHS) relayed that:

the average length of a general ransomware incident is 19 days.
Cybersecurity provider Sophos reported that 25% of healthcare organizations disrupted by ransomware took up to a month to restore operations. Sophos’ research also suggests that:

the average remediation cost for healthcare organizations soared to USD 1.85M in 2021 (up from USD 1.27M in 2020).
Keeping services operational is essential for maintaining the revenue that sustains an organization. That’s why having reliable backups that can quickly and easily be restored is paramount.

Unfortunately, the reality is that data outages are a matter of when, not if, making your ability to recover key data (and fast!) a necessary part of business continuity planning. Additionally, the shorter the outage, the lower the recovery and remediation costs, making loss avoidance a compelling part of the value proposition.

Recovery processes and costs can also include Digital Forensics and Incident Response (DFIR) activities, whether mandated by cyber insurance coverage, necessary for root cause analysis, driven by a motivation to prosecute, or some other reason.

Third-party backups assist DFIR activities by providing trustworthy information that extends further back in time than what can be pulled from SaaS applications.
